Manage your staff directory

Find your teachers and admins, look up their contact info, and invite new people to your team.

People is where everyone connected to your school lives in one list: students, parents, and staff. It's where you go to find a teacher's email, see which room they're in, or add someone new to the team.

Find your team

Open People. Everyone is sorted into three groups:

  • Students: each with their classroom (or Unassigned) and enrollment status
  • Parents: with email and phone
  • Staff: your teachers and admins. On iOS each row shows the person's role (Teacher or Admin); on the web app each row shows their classroom and email instead

On the web app, each group is its own tab with a live count next to it, like Staff (8). On the iOS app, the same groups show up as filter chips along the top: All, Students, Parents, Staff. Tap Staff to narrow the list to just your team.

Search for someone

Type into the Search people... box to filter by name. Staff also match on their email, so part of a teacher's name or address is enough to land on them.

Search narrows whatever list you're already in. If you only want staff, switch to the Staff tab or chip first.

Look up contact info

On the web app, a staff row shows the person's name, their Classroom (a dash if they aren't assigned to one yet), and their Email, and the email is a link. Click it to open a new message in your mail app. There's no role column on the web directory. On iOS, a staff row shows the person's name and, as a subtitle, their readable role (Teacher or Admin), falling back to their email if no role is on file. Tap the mail icon to open a new message in your mail app.

Invite a teacher or admin

To bring someone onto the team:

  1. On the web app, open People and select Invite team. On iOS, open the School tab and tap Invite team under School setup.
  2. Pick a Role: Teacher or School Admin.
  3. Enter their Email. First and last name are optional.
  4. Select Send invite.

You'll see an Invite sent! confirmation, and they'll get an email they can use to join your school. Choose Invite another to keep going, or Done to head back.

The role you pick sets what they can do. A School Admin can run the whole school: billing, staff, the works. A Teacher sees their own classrooms. Pick the one that fits.

Staff credentials

Keep each team member's certifications and professional-development records on file so you always know what's current. This is a School Admin surface on the web app.

Open a staff member's Credentials drawer to see everything on file for them. Each entry shows the credential and an expiry tag at a glance:

  • Expired: the credential's expiry date has already passed.
  • Expires in Nd: the credential expires within the next 30 days.
  • Expires Mon D, YYYY: the credential is current, with its expiry date.
  • Non-expiring: no expiry date was set.

To log a credential, scroll to Add credential and fill in the Course / certification name (required). You can also record a Credential type (for example CPR, First Aid, or State License), Completed and Expires dates, a Provider, a Cert #, and Hours. Leave Expires blank for a non-expiring credential. Select Add credential to save it, or use the delete control on any row to remove one.

Staff credentials expiring soon

When anything is within 30 days of expiring (or already expired), a Staff credentials expiring soon card appears for admins, listing each affected staff member, the credential, its expiry date, and how many days are left (or an Expired tag). The card stays hidden when nothing is expiring, so a healthy school never sees it.

Remove a staff member

You can't remove a staff member from the directory itself. To revoke or change someone's access, reach out to us at [email protected]. We'll close the account out cleanly and leave your classroom records intact.
