Configure attendance settings
Set pickup authorization, business-hours enforcement, tap behavior, absence categories, and attendance notifications for your school.
Attendance settings are the rules behind every check-in and checkout. They decide who can take a child home and what happens when attendance is marked outside your hours. They also govern how a badge tap behaves and who hears about a late arrival.
Open the screen any time. In the app it's Attendance Settings. On the web it's the Attendance settings page under your school. Everything here is one screen of cards. There's no Save button: each change writes the moment you make it, and a quiet Saving... indicator tells you it went through. If a save fails, the change doesn't take and you'll see an error.
Pickup authorization
This card controls who can take a child home.
Mode has three settings:
- Off lets any checkout go through.
- Warn shows a caution when an unauthorized person checks out a student, but staff can continue.
- Require blocks the checkout unless the person is on the child's authorized list.
Below the mode is Require pickup person on checkout. Turn it on and staff must pick who is collecting the child every time they check one out. It's a separate switch from the mode, so you can require a named pickup person without enforcing the authorized list, or both together.
Business hours
Enforcement decides what happens when someone changes attendance outside your operating window:
- Off allows changes at any time.
- Warn shows a caution but lets the change through.
- Block stops attendance changes outside hours.
The window itself comes from your operating hours, not this screen. To change when your school is open, edit your school profile. The card reminds you of this with "Set operating hours in School Profile."
Tap behavior
Two switches control how the attendance roster behaves day to day.
Single-tap toggle lets staff tap a student's badge to cycle their status instantly. With it off, status changes take a more deliberate path.
Batch confirmation shows a confirmation dialog before any bulk action, so a sweep across the whole room doesn't happen by accident. Leave it on if your team marks attendance in batches.
Absence categories
These are the reasons that appear when a family or your team reports a planned absence: think Sick, Vacation, Appointment, whatever fits your school. They show up as chips on the card.
On the web, each category has a small x to remove it, and a New category field with an Add button sits below. Type a reason and press Add (or Enter).
In the app, tap Edit categories first. That reveals a remove button on each chip and the New category field with its Add button. Make your changes, then tap Done editing. Duplicate names are turned away, so you won't end up with two of the same reason.
Notifications
Late arrival alerts notify admins when expected students haven't checked in. Turn it on and a second field appears: Minutes after opening. That's how long past your opening time Clear Day waits before flagging a no-show. The value can run from 1 up to 480 minutes, and it saves a moment after you stop typing.
Daily summary email sends a checkout summary to parents at the end of the day. It's a separate switch, independent of the late-arrival alerts.
Health screens
A health screen is the short symptom checklist a family fills out before drop-off. You set it up once for your school, and it defines three things:
- Symptoms: the list of items a parent answers, like Fever over 100.4, Vomiting, or New cough. This is your checklist, in whatever order and wording fits your policy.
- Blocker symptoms: the subset of those items that should stop a child from coming in. If a family answers yes to any blocker symptom, the screen comes back blocked.
- Policy text: up to 5,000 characters of guidance shown to the family. This is where you explain your stay-home rule, when to call, and how long to wait before returning.
When a blocker symptom is checked, Clear Day refuses the family's check-in and shows your policy text right there, inline, so the parent reads your rule at the moment it matters instead of guessing. A clean screen (no blockers answered yes) goes through normally and attaches to the day's attendance.
The screen is versioned. Your most recent version is the active one families see and submit against. Editing the screen publishes a new version rather than changing the old one in place, so a screen a family already submitted stays interpretable against the exact wording they saw. Earlier versions are kept, just no longer active.
For the family's side of this, see the daily health check-in.
Where this shows up
With the rules set, the next stop is the room itself. See how staff use them every morning in daily attendance. If a save ever refuses to land, check your connection and try again, or email [email protected].
