Manage schedule requests

Work the schedule request queue: filter by status, approve or deny vacation, recurring, and one-off requests with a note, and let the approval apply itself.

When a family submits a vacation, a recurring change, or a one-off schedule request, it lands in the Schedule requests queue. This is where you review each one and approve or deny it. Approving doesn't just mark the request done. It applies the change for you, server-side.

What the queue shows

The page opens on Pending requests. A Segmented filter at the top switches the list between four states:

  • Pending: waiting for a decision
  • Approved
  • Denied
  • Cancelled: the family withdrew the request before you decided

Each row shows the request at a glance:

  • A status tag (Pending, Approved, Denied, Cancelled) and a kind tag: Vacation, Recurring change, or One-off.
  • The student and the date or date range the request covers.
  • For a recurring change, the requested pattern: the weekdays the family is asking for (for example, Mon, Tue, Wed, Thu, Fri).
  • The family's note, if they left one.

Approve and Deny buttons appear only on Pending rows. Once a request is decided, it drops out of the Pending list and moves to the matching filter.

Approving or denying

Click Approve or Deny on a pending row. A dialog opens where you can add an optional note (up to 1,000 characters): for an approval, the note goes to the family; for a denial, use it to explain the decision. Confirm to save.

The decision is applied immediately. What happens next depends on the kind of request:

  • Approving a vacation records a planned absence for those days. Because the absence is on the books, the student isn't flagged as unexpectedly absent during that window. Attendance stops chasing them for those days.
  • Approving a recurring change updates the student's weekly schedule. The new weekday pattern supersedes the active one, so going forward the student's expected days match what the family asked for.
  • Approving a one-off records the decision without changing the recurring pattern or writing a planned absence.

Denying a request closes it out with your note and changes nothing about the student's schedule.

How this differs from the director request queue

These are two separate queues, and it's easy to mix them up:

  • Schedule requests (this page) are structured requests with a kind, dates, and (for recurring changes) a requested weekday pattern. Approving one applies the change automatically.
  • The director request queue holds free-text notes a family sends through Talk to a director. Those you read, follow up on by hand, and resolve with a note. Nothing is applied automatically.

If a family wants a documented change to their days off or their regular weekly schedule, it belongs in Schedule requests. A general question or concern belongs in the director request queue.
