View state licensing rules

Every state sets its own staff-to-child ratios. Clear Day keeps a table of those ratios by age group, and uses them to flag when a classroom is over its limit. Pick your licensing state once, and the right rules carry through the rest of the product.

What ratio rules do

Ratio rules set how many children a single teacher can supervise in each age group. Clear Day reads your selected state's rules and flags an over-ratio room before it becomes a problem.

The rules here are reference data. You're choosing which state's table applies to your school, not editing the numbers.

Open the State licensing page

On the web, go to your School setup and open State licensing. The page opens with two cards: Licensing state at the top, and Ratio rules below it.

In the app, open the School tab, then under School setup tap Licensing. That opens the State licensing screen with a searchable list of states.

Choose your licensing state

This is the state your school is licensed in. It can be different from your mailing address, so set it deliberately.

On the web, use the Select a state dropdown under Licensing state. Start typing to filter the list, then pick your state. Clear Day saves the choice right away and confirms with Licensing state updated.

In the app, type into the Search states... field, then tap your state. A checkmark marks the one that's selected, and the screen returns to the School tab once it saves.

If a save doesn't go through, the selection reverts to what it was before, so you'll never be left guessing which state is active.

Read the ratio table

The ratio table lives on the web page, under Ratio rules. Once a state is selected, the card header shows the state name and the table fills in. Each row is one age group, with three columns:

• Age group: the named group, like infants or toddlers.
• Age range: the ages that group covers.
• Max children per teacher: the ceiling for that group, shown as a ratio such as 4:1.

If a state has no rules on file, the card reads No ratio rules on file for this state. If nothing is selected yet, it asks you to choose a state first.

How the rules flow through Clear Day

Your selected state's ratios become the baseline for ratio enforcement across classrooms. As you assign children to rooms and run headcounts, Clear Day compares the room's count against the max for that age group and surfaces a room that's over its limit. One state field, two places

The licensing state and the state field on your school profile are the same value. Setting it here updates your profile, and setting it on the profile updates what shows on this page.
