Manage all team tasks
Work your school's open family follow-ups in one place, filtered by type or assigned to you, and mark them done from the touch log.
Every open family follow-up across your school lives in one list. Clear Day adds tasks as it notices things worth a touch, and you add your own. This is where you work through them.
Open the list
From the Grow tab, under Operations, tap All tasks (Follow-ups across families). The screen is titled All tasks.
It loads every open task for the families you manage, so you see the whole picture in one scroll, not one family at a time. Pull down to refresh. If your school has a lot in flight, the list shows the first few hundred. Narrow the filters below to surface the rest.
What the task types mean
Each task carries a type. The auto-generated ones come from Clear Day watching your families; Task is what you create by hand.

When Clear Day raises a task, the row shows why it noticed instead of the plain type. A birthday this week, an enrollment anniversary, attendance dropping, an incident that needs follow-up. A sparkle icon marks these auto-tasks. Manual tasks show a checkbox icon. Every row carries its family name, so you always know whose follow-up you're looking at.
Filter to what you need
Two rows of filters sit at the top.
The first row filters by type. Tap All to see everything, or tap Outreach, Appreciation, Winback, At risk, In-person moment, or Task to narrow to one kind.
The second row is a single toggle. It reads Everyone's by default, showing every open task. Tap it to switch to Mine only, which keeps just the tasks assigned to you.
How the list is ordered
The list sorts itself so the most considered work rises first:
- Clear Day's auto-tasks (the ones with a "why") come first.
- Then tasks by due date, soonest first.
- Then by when they were created, newest first.
You don't set this. It keeps the families Clear Day flagged at the top without burying the dated work underneath.
Add a task by hand
Manual tasks start from a family, so the task stays tied to the right household. Open the family's record and tap Add task. The Add task screen has three fields:
- What: a short title, like Welcome Chen family at pickup.
- Suggested action: optional details you want to remember when you pick it up.
- Type: tap a chip to set the kind. It starts on Task.
Tap Save in the top right. The task joins the global list right away. For more on working a single family's record, see Family records, notes, tasks, and assignments.
Mark a task done
Tap any task to open the touch log, already pointed at the right family. The header reads Mark done + log touch, because finishing a follow-up and recording the contact are the same step here.
Log how you reached the family, then save. Completing the task logs the touch at the same time, so the family's history stays accurate without a second entry. The task drops off the open list.
A note on what the AI sees
Auto-tasks come from patterns in your own school's data: birthdays, anniversaries, attendance, incidents, leads going quiet. A human always works the task. Clear Day surfaces it; you decide what to do. To understand the boundaries, read What the AI can see.
When the list is empty, you're caught up. New auto-tasks appear here as the outreach worker flags more families.
