Plan enrollment and forecast capacity

Read your monthly enrollment forecast, work the AI move-up suggestions, and draft outreach to families.

The Enrollment forecast takes your roster, your ratios, and your billing and turns them into a look at the month ahead. You can see how full each room will be and who's ready to move up. It also shows where revenue is sitting in empty seats and which families are worth a note. Clear Day watches the same signals and offers concrete moves you can accept, snooze, or turn down.

The numbers up top

The forecast opens on the current month. On the web, the month picker at the top right lets you look at a different month, and Refresh reloads the view. The iOS app shows the current month; pull down to refresh.

The summary card gives you:

  • Enrolled: students counted for the month
  • FTE used / Capacity and Occupancy %: how full you are
  • Available open spots, Waitlist, and On hold
  • Current MRR and Open-spot MRR opportunity: what you're earning now versus what's sitting in empty seats
  • MRR at risk: recurring revenue tied to families in a watch, at-risk, or lapsing bucket
  • Net change this month: the projected gain or loss once you fold in scheduled moves, tour conversions, kids aging out, and at-risk churn
  • Pending offers, Applications, and Upcoming tours

If a room has no billing plan attached, you'll see a warning. Tie a plan to each room and transitions update tuition on their own.

The room cards

The Rooms section gives you a card per classroom: a capacity bar, the age range, and FTE used. Each card also flags:

  • ↑ incoming and ↓ outgoing students
  • ready: children ready to transition up
  • ages out: children who'll pass this room's age limit this month
  • open: available spots
  • ratio limit or ratio exceeded: staffing measured against your required ratio
  • a revenue line with the room's monthly MRR and any open-spot opportunity
  • upcoming tours, shown with the child's first name, and any data-quality flags

Working the suggestions

The Suggestions section lists the moves Clear Day recommends, each tagged Move up or Waitlist match with a priority, a projected tuition change, and the ratio impact. The Why column tells you the reasoning. Every suggestion gives you four choices:

  • Accept creates a move plan for the transition. On the web you'll get a "Move plan created" confirmation.
  • Draft opens an outreach draft (more on that below).
  • Snooze sets the suggestion aside until a date you pick, then brings it back.
  • Reject opens the reason dialog so Clear Day learns from the no.

Rejecting with a reason

When you reject, you pick a category: Timing — too early, Timing — too late, Family declined, Family left school, Financial, Readiness concern, Ratio concern, or Other. A note is optional everywhere except Other, where it's required. Your reasons feed the "Why families said no" insight, and they keep Clear Day from floating the same move again for a reason you've already ruled out.

Drafting and sending outreach

Draft writes a family message with a subject and body. When Clear Day offers more than one voice, tap a voice to preview it before you decide. The draft also shows the channel, the language, and any send-hold time. Press Send to queue it, and you'll see the scheduled time and the voice that's going out.

Send is only available for email drafts that have a family on file. Nothing leaves until you press Send. Clear Day drafts, you approve.

Move plans and momentum

The web adds a few panels the iOS app leaves out, so the phone stays focused on the metrics, the room cards, and the suggestion actions.

Accepted suggestions land in a Move plans table, each with its status (PENDING or FAILED), the child, the target room, the effective date, and the billing sync result. When a billing sync fails, the table tells you why (usually a missing billing plan on the destination room), so you know what to fix.

Below that you'll find a capacity timeline across the coming months, a momentum panel comparing accepts, rejects, tours, and withdrawals against the prior period, and the breakdown of why families said no.

Once a move plan is sitting in PENDING, fix any flagged billing plan on the destination room and the sync clears on its own. Need somewhere to park the families who aren't ready yet?
