Create and manage billing plans

Build the tuition plans Clear Day uses to invoice families on a regular cadence.

A billing plan is the template Clear Day uses to invoice a family. It holds the tuition amount, how often the invoice goes out, and when it's due. Build the plan once, enroll families on it, and the invoices generate themselves on schedule.

Your plans live under Billing plans on the web, or the Plans tab in the iOS app. Both are admin-only.

Create a new plan

On the web, click New plan in the top right. In the app, tap New, or Create plan from the empty state. Then fill in:

  • Plan name: what you see in the list, like "Standard monthly tuition." Families never see it.
  • Cadence: how often the invoice goes out (the options are below).
  • Base tuition: the amount per period, in dollars.
  • Anchor: the day of the period an invoice generates against. The app spells out the format as you type: for a monthly plan, "1" is the first of each month; for semi-monthly, give two days comma-separated, like "1,15"; for weekly or bi-weekly, give a day of the week, like "MONDAY." On the web the field is just labeled Anchor, with the same formats.
  • Due offset: how many days after issue the invoice is due. "0" means it's due the same day. Anything from 0 to 60. The web labels this Due offset (days after issue); the app calls it Due day offset.
  • Classroom (optional): tie the plan to a room and a child's tuition updates on its own when they move into it. A room can hold one active plan. Leave it on Not tied to a room for legacy per-family plans.
  • First billing date (migration, optional): only for schools coming from another provider that already collected the current period. Stripe holds every subscription in a free-trial state and charges no one until this date. Leave it empty when you're starting fresh. The date has to be in the future and within six months.

Save with Create on the web, Create plan in the app.

The app words a few of these differently on its cadence chips ("Every two weeks," "Twice a month," "Annually"), but they bill on the same schedule.

Heads up on semi-monthly. Five of the six cadences run on automatic autopay. Semi-monthly ("twice a month") is configurable here, but it can't be charged on live autopay yet: turning autopay on for a semi-monthly plan is rejected. If a plan needs the twice-a-month schedule, expect to collect it another way until automatic support ships, or reach out to support.

Edit or archive a plan

Click Edit on a plan's row on the web, or tap the plan in the app, to change any field and save.

When you're done with a plan, use Archive. It's a soft action: families already on the plan keep getting billed, but the plan stops being assignable and drops off the list. Nothing gets hard-deleted, so an archived plan never breaks an active enrollment.

A plan stays purely about tuition and timing. Autopay-required and pass-through card fees aren't set here: they live elsewhere, so changing one never quietly changes the other.

Late fees

Late fees aren't set on the plan. They're configured as one step in your school's billing policy, then applied to how families are billed. See Configure late fees.

With your plans in place, you're ready to enroll families.
