Find your way around tuition billing

A map of the Billing page, showing where your plans, family billing, settings, reports and Stripe dashboard live.

Tuition billing is how you charge families for care. It's separate from your Clear Day plan, which is what you pay Clear Day. This page is a map of where things are. It's for directors and school admins.

On the web, open Billing in the top navigation. In the app, open the Billing tab.

On the Billing page

  • Connect Stripe to accept tuition: shown until your Stripe account is ready. See Connect Stripe.
  • Active billing plans, Families on a plan and Upcoming next 30 days: a quick read on what's scheduled. Manage plans opens your plans. See Create and manage billing plans.
  • Billing settings: your discounts, scholarships and billing policy. See the links below.
  • Reports: your Stripe dashboard and the revenue projection.
  • Subsidy reconciliation: funder payments against what you expected. See Reconcile subsidy payments.

In the app, the page has Plans and Family billing rows, and a settings icon at the top for discounts, scholarships and reports.

Work with one family

Open a family's record and choose Billing to reach Family billing. On the web it holds their plans, Cash / check payments, Split billing, a refund card and a running balance. See Put a family on a billing plan.

Settings

Billing settings has tabs for Discounts and Scholarships, which are covered in Set up discounts and scholarships. Its Overview tab also holds Billing policy (SOP), where you choose Open policy setup. See Set up your billing policy.

Reports and refunds live in Stripe

Payments, payouts, refunds, disputes and balances are in your school's Stripe dashboard, not in Clear Day. There are two ways in: Reports, then Open Stripe dashboard, or the Issue refunds in your Stripe dashboard card on a family's billing page. Either one opens Stripe in a new tab, already signed in. In the app it opens in your phone's browser.

The link works once. If you haven't finished connecting Stripe, you'll be asked to do that first. The refund steps are in Refund a charge.

The one report Clear Day keeps is the Revenue projection, because Stripe can't see your billing plans.

"Verify it's you"

Actions that move money or change what families pay can ask for your password, and a code if you use two-step verification. You'll see this when you assign, pause or end a plan, record a payment, save a split, schedule or cancel a rate raise, publish a policy or resolve a subsidy variance. It's a security check, not an error.
