Schedule shifts and approve time off

Plan who works when, cancel a shift, and approve or deny staff time-off requests.
Staff scheduling is where you plan who works when and decide on your team's time-off requests. Directors and admins can use it. It has two tabs, Shifts and Time off.
On the web, open /admin/staff-scheduling. In the app, open the School tab and tap Staff scheduling. If your school doesn't have it yet, you'll see a notice that the feature isn't enabled.
Schedule a shift
The Shifts tab lists upcoming shifts, soonest first. Each card shows a Scheduled or Canceled tag, the person, an optional classroom, the time window and any note.
Creating a shift is on the web. Select New shift and fill in:
- Staff member ID: required. It's a number, not a name.
- Classroom (optional): leave it blank for a shift that isn't tied to a room.
- Shift window: start and end date and time.
- Note (optional): up to 1,000 characters.
Select Create. The shift lands in its place in the list.
The form has no name picker yet, and the staff directory doesn't show the ID. If you don't have a staff member's ID, email [email protected] and we'll look it up.
Cancel a shift
On a shift tagged Scheduled, select Cancel shift (Cancel on the web). The card switches to Canceled and stays on record. You can create a replacement any time.
Approve or deny time off
Open Time off. It starts on Pending. Use the filter to move between Pending, Approved, Denied and Canceled. A request a staff member withdrew shows under Canceled.
Each card shows the person, the dates, a reason tag (Vacation, Sick, Personal, Bereavement, Jury duty, Unpaid or Other), their note, and once decided, your Decision note.
On a pending request, select Approve or Deny. You can add a note of up to 1,000 characters before you confirm. The request moves to the matching filter.
A shift is a plan, not a punch
A shift is the block of time you expect someone to work. The actual hours come from the time clock, and a punch covers the whole shift with no room to choose. See Staff time clock and timecards.
