Track staff credentials

Available on Run and Grow

Keep each team member's certifications and training on file, and get warned before one expires.

Credentials are your team's certifications and training records, such as CPR, First Aid or a state license. Keep them in Clear Day and you always know what's current. Only School Admins can see and edit them.

Open a person's credentials

On the web, open People, go to Staff, and select the credentials icon on their row. A drawer opens, titled Credentials with their name. In the app, open the School tab, then People, and tap the ribbon icon on their row.

Each entry shows an expiry tag:

  • Expired: the date has passed.
  • Expires in 12d: it expires within 30 days.
  • Expires Mar 4, 2027: current, with its date.
  • Non-expiring: no expiry date was set.

An empty list reads "No credentials on file".

Add a credential

Under Add credential, fill in:

  • Course / certification name: required.
  • Credential type, such as CPR or First Aid.
  • Completed and Expires dates. Leave Expires blank for a credential that doesn't expire.
  • Provider, Cert # and Hours (web).

Select Add credential. The web confirms with "Credential added". To remove one, use the trash icon and confirm. The app asks "Remove credential" and warns that it can't be undone.

Get warned before one expires

When a credential comes within 30 days of expiring, School Admins get a push notification once, for that credential. If you move its expiry date forward, it can warn you again the next time it comes within 30 days.

On the web, a Staff credentials expiring soon card also appears on People. It lists each person, the credential, its date and the days left, or an Expired tag. It stays hidden when nothing is expiring or expired. The card is web only.

Credentials for staff who have left your school don't trigger warnings.
