Manage waitlist and class offerings
Keep your waitlist ordered by program and year, then open seats to existing families before the public sees them.
Two screens in Grow carry demand from "interested" to "enrolled." The Waitlist holds families in order by program. Class offerings opens seats to those families first, before the public ever sees them.
See who is waiting
Open Waitlist to see everyone you're holding a spot for. Entries are grouped into buckets by program and enrollment year, so a family waiting for Pre-K in 2026 sits apart from one waiting for Toddler. Buckets with no set year show as Rolling. Inside each bucket, families are numbered from position 1, with their priority reasons and any note underneath. Refresh reloads the list.
Add a family to the waitlist
Most families arrive here from a lead: there's an Add to waitlist action on the lead itself, which carries the family (and prospective child, if there is one) onto the form for you. On the web you can also add one by hand: tap Add to waitlist above the list to open the form.
- On the web add-by-hand form, enter the Family ID and a Prospective child ID if there is one. When you arrive from a lead, these are already filled in.
- Enter the Program (Infant, Toddler, Pre-K, and so on).
- Set the Enrollment year, or leave it blank for rolling enrollment.
- Pick any Priority reasons: Sibling, Staff child, Alumni, Date added, Manual override, or Other.
- Add a Note explaining the priority, then tap Add.
Reorder the line
Position is the order families come off the list, so it's worth getting right. Use the up and down arrows on a row to move a family within its bucket. On the web, the edit icon also lets you change a family's program, year, priority reasons, or note. To take someone off, use the remove icon: on the web you can jot an optional reason before confirming.
Create a class offering
A class offering is a block of seats for one program and year: say, Fall 2026 Pre-K. Open Class offerings and tap New offering (just New in the app).
- Enter a Name, plus an optional Program type and Enrollment year.
- Set the Capacity and an optional Start date.
- Set the three windows: Early access opens, Early access closes, and Public opens. Add Public closes if you want a hard end.
- Add a Deposit ($) and Notes if you like.
- Save it: Create offering on the web, Save in the app.
The dates have to line up. Early access must close after it opens, the public window must open on or after early access closes, and a public close (if you set one) must come after the public open. If they don't, the form tells you which date is out of order.
Track capacity and responses
Each offering card shows its fill at a glance: committed out of capacity, the number pending, and a percent-full bar. The detail screen adds Declined to the mix and gives you the early-access window, plus the public open date once it is set. A status tag tells you where things stand: Draft, Open to families, Open to public, or Closed.
Run early access
Early access is the window where your current families get first pick.
- While the offering is Draft, tap Open to families. This invites every eligible family and gives each a pending invitation.
- Once it's Open to families, tap Bulk invite. You'll see a preview of eligible families with a draft message for each. Edit any message, deselect anyone you want to skip, and Send the batch. Nothing goes out until you send it.
Clear Day writes the draft messages, but you decide who's invited and what each one says. Every invitation lands in the Invitations list, where a family can Commit, Defer, or Decline. For a family that hasn't answered, you can record their response yourself from the Respond menu. Committed families count against your seats, so the fill bar moves as answers come in. Once a family commits, pick them up in applications and offers to finish enrolling. If an invitation looks stuck, email [email protected].
