Track and recognize family referrals
Log who referred whom in the Referrals list, then recognize the referrer with a thank-you task once the referred family enrolls.
Referrals is where you keep a record of who sent whom your way. When a referred family enrolls, Clear Day prompts you to thank the family who sent them. Open it from the Grow tab.
The Referrals list
Open Referrals to see every referral logged for your school. Each row reads as a chain:
The Okafor Family → The Nguyen Family
The family on the left referred the family (or lead) on the right. Below each chain you'll see when it was logged. On the web, a Status column shows where each referral stands and, for recognized ones, the date it was recognized.
A family without a household name on file shows up by email, or by an internal id as a fallback. A referred party still in your pipeline shows as a lead rather than an enrolled family.
Use Refresh to pull the latest. Referrals group by status, and within each status the newest sit first.
Referral statuses
Every referral carries one of three statuses:
- Open: logged, but the referrer hasn't been thanked yet. Each one is a thank-you still owed.
- Recognized: you've marked the referral and a thank-you task was created for the referrer.
- Declined: the referral was set aside and won't be recognized.
Log a new referral
When a family tells you a friend sent them, log it right away so the link isn't lost.
On the web, tap New referral. On the app, tap New in the top right. Either way you're filling in three things: who referred, and the lead or family they referred.
On the web, you enter ids directly:
- Referrer family id: the family who made the referral. Required.
- Referred lead id: the lead in your enrollment pipeline this family referred. Optional.
- Referred family id: the enrolled family, once the referred lead converts. Optional.
On the app, you don't type ids. Each field is a searchable picker (Referring family, Referred lead, and Referred family) so you search by name or email and tap the right one.
You need at least one of referred lead or referred family. Link the lead while the referral is still working through your pipeline; add the family once they enroll. You can do both.
Both ends have to belong to your school. If a referral points somewhere it shouldn't, the save is rejected with a clear message. Save it and you're back on the Referrals list.
On the web, the referrer, lead, and family fields take ids: the same numbers you'll find on a family record or lead in the pipeline. See Track leads and the enrollment pipeline for where leads live.
Recognize a referral
Recognize a referral once the referred family enrolls. It's the moment to close the loop with the family who sent them.
On an open referral, tap Recognize.
- On the web, a window opens. It names the referrer and the family they referred, and offers an optional Recognition note (up to 500 characters): a quick reminder of how you'll thank them. Confirm with Recognize.
- On the app, you'll get a short confirmation. Tap Recognize to go ahead.
Recognizing does two things at once. The referral flips to Recognized with today's date, and an APPRECIATION task lands on the referrer family: Thank them for the referral, with the suggested action to send a warm, specific thank-you. That task shows up alongside the family's other tasks, so the thank-you doesn't slip.
Recognizing an already-recognized referral does nothing: no duplicate task. To find the thank-you task later, look on the referrer's family record or in your team tasks. See Family records: notes, tasks, and assignments and Manage all team tasks.
Recognize from a family record
Open a family who has sent others your way and you'll find a Families they referred card. It lists each family this one referred who went on to enroll, with the enrollment date and a Thanked or Open tag. The card stays hidden when a family has no referrals that enrolled.
Each row has its own Thank them button. It opens a short composer with the household names already filled in, and creates an APPRECIATION task on this family so the thank-you doesn't slip. It's an easy way to spot your most generous advocates and close the loop right from their record.
Where to go next
With referrals logged, keep an eye on the families they bring in over in the enrollment pipeline. If a chain won't save or a thank-you task never lands, email [email protected].
