Track withdrawals, lost leads, and competitor activity

Use Churn analytics to see why families leave, which inquiries never converted, and the nearby schools families choose instead.

Churn analytics tells you why families leave and why some inquiries never enroll, in one place. It reads from your withdrawal records, your leads pipeline, and the competitors you track, so the patterns you've been feeling start to show up as numbers you can point at.

Pick a date range

At the top of the page you'll find three options: Last 90d, Last year, and All time. It opens on Last year. Switch the range and every number below updates to match.

On the web, hit Refresh after you've recorded new withdrawals or lost leads. On iOS, pull down to refresh.

The four headline stats

A row of cards sums up the range you picked:

  • Withdrawals: families who left during the range.
  • Lost leads: inquiries that never enrolled.
  • Preventable: the share of withdrawals you flagged as preventable. This is the part you can actually do something about, so it's worth watching. On the web the card turns orange once that share gets high enough to be worth a closer look.
  • Median tenure: how many months a typical family stayed before withdrawing.

Withdrawal reasons

This section ranks departures by reason, longest bar first. The reasons are Moved, Cost, Schedule change, Dissatisfied with care, Dissatisfied with staff, Dissatisfied with curriculum, Child ready to advance, Chose competitor, Family circumstances, and Other. Each bar comes straight from the reason you picked when you recorded the withdrawal, so the chart is only as honest as that field.

Competitors

Each competitor you track shows up here with a tally of how many families they pulled away, written as the count withdrawn and the count of lost leads. A competitor only appears once a withdrawal or lost lead is tied to them.

By classroom

This section ranks classrooms by withdrawal count. When the same classroom keeps landing at the top, that's worth a closer look: staffing, fit, or capacity are the usual culprits.

Lost-lead reasons and tenure (web only)

The web app adds two more sections. Lost-lead reasons shows why inquiries didn't convert: Cost, Chose competitor, Schedule, Location, No response, Changed plans, or Other. Tenure at withdrawal sorts withdrawals into month buckets, so you can tell whether families tend to leave early or after they've settled in.

The iOS app shows the same stats, withdrawal reasons, competitors, and classroom breakdown, but leaves these two out to save room.

Adding and managing competitors

On the web, open the Competitors page and choose Add competitor. Give it a Name (the nearby school) and, if you like, Notes for pricing, location, or what families say about the place. Each competitor also has Archive, which hides it but keeps its history, and Remove.

On iOS, open Competitors from the button in the top-right of the Churn screen, type the name into the add field, and tap the plus. To stop tracking one, tap the trash icon.

Either way, a competitor that still appears in withdrawal records is archived rather than deleted, so your analytics stay intact.

The accuracy of every chart here comes down to one habit: record the right reason (and the right competitor) on each withdrawal in your leads pipeline.
