Manage your enrollment pipeline
Work your pipeline as a board, a list, or a seat forecast, open a card to see the family behind it, and read the Sparks that flag what needs you next.
Every new inquiry becomes a card in your pipeline: a family with a child you're hoping to enroll. Open Grow to work it, in whichever of three views fits what you're doing right now.
Board, List, or Seats
A switcher at the top of the pipeline flips between three views of the same underlying data:
- Board lays every family out as a card in a column for its stage: reach for it when you're moving things forward.
- List is a sortable table (Family, Child, Contact, Summary, Status, Created), reach for it when you're scanning, searching, or filtering down to a status like Lost.
- Seats turns the pipeline into a dollar figure: which rooms have openings, what they're worth if filled, plus the same stage-to-stage numbers and sources as before.
In the iOS app, Grow shows the list only: no board or seat view there yet. On the web, Board is rolling out gradually, so if you don't see it yet, List and Seats cover the same families in the meantime.
Work the board
Board sorts every active family into a column for its stage:
Inquired → Tour scheduled → Toured → Applied → Offered → Enrolled
Each column header shows a count and the seat value it represents: what those seats are worth if every card in the column enrolls. Drag a card into the next column to move a family forward, or drag within a column to reorder it.
Applied only appears once a family actually has one in progress; empty, it stays out of your way. Turn on Waitlisted as an extra column when you want to see it: it isn't shown by default. A family who didn't work out doesn't get its own column: mark the card Lost, and find it again from List's status filter, with a reason attached.

Open a card
Everything about that family sits on one page:
- Next best action: Clear Day's suggestion, with a priority and a sentence of reasoning. It's best-effort, so it won't always be there.
- Triage: urgency, sentiment, and program fit, read from the inquiry itself.
- Status: change it here. To close a card out, use Mark as lost… and record a reason (Cost, Chose competitor, Schedule, Location, No response, Changed plans, or Other), an optional competitor name, and any notes. Reasons add up, and that's what lets you spot patterns later.
- Family: household name, email, and phone.
- Child: name, and either a date of birth or an expected birth date.
- Inquiry: program, desired start, source, tour preferences, and the original message.
If the page shows Inquiry matched an existing family, you've got three ways to resolve it: Add as contact (it's the same household), Different family (split them apart), or Same person (dismiss the match).
Sparks: what needs your attention
Sparks are Clear Day's read on your pipeline: a small chip on a card flagging something worth knowing, like this family is stalling or a deposit that's about to expire. Each spark carries a ready-to-send draft, so acting on it is one click, not a blank page.
Every spark can be dismissed or snoozed. Dismiss one and it stays gone unless the underlying signal materially changes; snooze one and it comes back after the window you choose. Clear Day shows only a few sparks at a time, on the cards and column headers that need them most: so it's never a wall of flags, just the ones worth your next few minutes.
Seats: the dollar view
Switch to Seats for a room-by-room, month-by-month look at what's open and what it's worth: the number a director actually plans a budget around.
Below the seat ledger sit the same stats the pipeline has always tracked:
- Stage progress: how many families move from one stage to the next: Inquired → Toured, Toured → Applied, Applied → Offered, and Offered → Enrolled.
- Sources: where your families came from, with a count each, so you can see which channels are actually bringing people in.
- Family lifetime value: enter a Family ID and look up Months enrolled and an Estimated LTV, plus a per-student breakdown with enrollment and withdrawal dates. Students still enrolled show an Active tag.
Set the window with the range selector (30d, 90d, 1y, or All time) to change what all three cover.
