Process applications and send enrollment offers
Review enrollment applications, move them through their statuses, and extend offers families can sign and accept.
Two screens carry an interested family the rest of the way to enrollment. Applications holds their forms and documents. Offers sends the terms they sign and accept. Both live under Grow.
Work the applications list
Open Applications for every enrollment application at your school. Each card shows the child's name, the program they're after, the submitted date, and a status tag. Statuses run Draft, Submitted, Under review, Approved, Waitlisted, Offered, Enrolled, Withdrawn, Rejected. Tap a card to open it, or pull down to refresh the list.
Review an application
The detail screen breaks down into four cards: Status, the Children attached, Details (program, desired start, submitted and decision dates, notes), and Documents.
- The Status button opens a picker. Choose the new status to move the application along. If a decision note is already on file, it shows beneath the button.
- Attach document takes a JPEG, PNG, HEIC, or WebP image up to 10 MB: a photo of a signed form, say. The trash icon removes one.
- Extract fields from document runs an attached document through Clear Day's reader to pull structured fields off it.
Create an application
Applications start from a card in your pipeline. Open its detail screen and tap Start application: the family and child links carry over, so you're not retyping them. From there you land on New application:
- Under Children, check the prospective children this application covers. If the family has none yet, add one on their record first.
- Fill in Desired program, Desired start date, and Notes.
- Tap Submit.
Extend an enrollment offer
Open Offers for everything you've sent. Outstanding shows offers still waiting on a family; All shows the rest too. Each row lists the child, program, start date, expiration, and deposit. Send an offer and the same family's card moves to the Offered column on the pipeline board: see manage your enrollment pipeline.
You write a new offer the same way. On the card's detail screen, tap Extend offer: the family and child carry over. Fill in the Program, a Start date, when the Offer expires, the Deposit (USD), and any Terms / note, then tap Send.
Accept, decline, or request a signature
Tap an outstanding offer to open its actions. While it's still Outstanding, you have five:
- Send link to parent sends the family a portal link so they can review and respond.
- Request signature sends the agreement out through your connected e-signature provider.
- Accept turns the offer into an enrolled student.
- Decline closes the offer out.
- Rescind pulls it back so the family can no longer accept.
Once an offer leaves the Outstanding state, tapping its row does nothing: there's nothing left to act on.
Requesting a signature needs a provider connected first. If you haven't set one up, Clear Day points you to Payments → E-signature setup to import your DocuSign or Dropbox Sign account. From there, enter the parent's name and email, confirm the document name, and tap Send via provider. We hand you a signing link to share, but the signature itself lives with your provider: they're the authority on it, not us.
