Import families and capture intake data

Three tools save you from typing the same family twice. On the web, open Enrollment and find them under Import & intake. In the app, CSV import is on the Grow tab, Call recap is on a family's page, and Extract document is on an application.

Import families from a spreadsheet

Choose CSV import. On the web, drop a .csv file on the box, or click to pick one. The file needs a header row. In the app, paste the CSV text into the box.

Clear Day shows a Column mapping card. Each recognized column is tagged Mapped or Not provided, and any column it doesn't recognize is listed under Ignored columns. A row that matches an existing family by primary email or phone is merged into that family instead of creating a second copy.

One import can carry up to 2,000 rows. In a bigger file, only the first 2,000 rows are used, so split it and import the rest separately.

Choose Preview first. It's a dry run that marks each row CREATE for a new family, MERGE for a match, or SKIP, and flags any problem in the Issues column. Import stays off until you've previewed. When it reads the way you expect, choose Import and confirm. You can't undo an import. In the app, Import stays off, with a note that importing is paused, until roster changes are turned on for your school. You can still preview.

Log a call from a recap

After a call, open Voice intake on the web, or Call recap from the family's page in the app. Find the family, then get your recap into the box.

• Web: dictate with your keyboard's microphone key, type, or paste.
• App: tap Dictate recap, or type.

Choose Summarize. Clear Day cleans up the recap, drafts a log entry and suggests notes.

Then review it. Edit the Log entry and set its Channel. Suggested notes are toggles, so switch off any you don't want. Captured to memory lists the details Clear Day saved to the family's memory when it summarized: the confident ones are live, and the rest wait for your review on the family's page. Choose Save to timeline to log the entry. Nothing is added to the timeline until you do.

Pull fields out of a document

Choose Document extract on the web, or Extract fields from document on an application. Pick the Document type: Application form, Immunization record, IEP summary, Enrollment paperwork or Other.

• Web: paste the document's text into Source text, or drop a plain-text, CSV, Markdown or JSON file. It reads text, not images, so copy the text out of a PDF first.
• App: choose Scan or upload to read a photo or PDF, or paste the text.

Choose Extract fields. Each field comes with a confidence score, and anything Clear Day wasn't sure of is marked review. Check those against the document.

On the web, Create lead from these fields turns the result into a new inquiry. Otherwise nothing is saved: use what you see to fill in the record yourself.
