Import leads and capture intake data by voice or document

Bulk-load families from a CSV, log a call by voice, and pull family data out of an uploaded document with AI extraction.

Grow lets you get family data into Clear Day without typing it twice. Bring a CSV over from your old CRM. Log a call by dictating a quick recap. Or read fields straight out of a document a parent sent you. The CSV import and the voice recap write to the family record; the document reader shows you the fields to copy over yourself.

Import families from CSV

Open the CSV import screen from Grow. Drag a .csv onto the Click or drag a .csv file here to import box, or click to pick one. The file needs a header row.

Clear Day reads the file right in your browser and shows a Column mapping card. Each recognized column is tagged Mapped or Not provided, and anything the importer doesn't recognize is listed under Ignored columns, so you can see exactly what's coming in before it lands. A row that matches an existing family on primary email or phone gets merged into that family rather than creating a second copy.

One import carries up to 2,000 rows. A bigger file is refused rather than trimmed, so split it and bring the rest over in a second pass.

Preview before you commit

Click Preview for a dry run. The server tells you what each row will do: CREATE for a new family, MERGE for one that matched, SKIP for one it's leaving alone. The header tallies the new, merged, and skipped counts, and the Issues column flags any row that had a problem.

When the preview reads the way you expect, click Import. You'll get a confirmation with those same counts, because once it runs you can't undo it from the app. When it finishes the totals update, along with any per-row errors.

Capture a call by voice

Open Voice intake from Grow. Find the family in the search picker, then get your recap into the text box. There's no audio recording here: Voice intake works from a transcript. Dictate with your keyboard's mic key, type it out, or paste a recap you've already written.

On the iOS app this screen is called Call recap and works the same way: tap the mic on your keyboard or type the recap, then tap Summarize.

Click Summarize. Clear Day cleans up the recap, drafts a communication-log entry, and pulls out notes and memory facts worth keeping.

Review and save to the timeline

The review step is yours to adjust. Edit the Log entry text and set the Channel (Call, for instance). The Captured to memory section shows what was saved to the family's memory. The high-confidence ones are live right away; anything Clear Day was unsure of is queued for review on the family page, where you can confirm or discard it. Under Suggested notes, toggle each one on or off to decide what stays.

Click Save to timeline to log it all on the family record. Nothing posts until you do.

Extract data from a document

Open Extract document from Grow. Choose the Document type (Application form, Immunization record, IEP summary, Enrollment paperwork, or Other), then paste the document text into the Source text box, or drag a plain-text, CSV, Markdown, or JSON file onto the upload box.

The extractor reads text, not images. If you have a PDF or a scan, copy the text out of a viewer or an OCR tool first, then paste it in.

Click Extract fields. Clear Day pulls out each field with a confidence score. Anything it wasn't sure of is highlighted in amber and tagged review: give those a second look before you trust them. Any Warnings show up under the fields.

Extraction is a read, not a write: the fields are shown on screen for you to check against the family's record, but nothing is saved automatically. Use what you see to fill in or correct the record by hand. If an extraction comes back thin or a document won't parse, email [email protected] and we'll take a look.
