Manage daily attendance
Check children in and out, mark absences, run batch attendance, and look back over a child's history.
Attendance mostly lives inside each classroom. Open one from the Classrooms tab and every child shows up as a row with a status badge. Across the top sits a stats bar. In the app it reads Present, Total, Teacher Ratio, and the last Head Count. On the web it shows Present students, Staff ratio, and Total students.
Staff and admins don't always have to open the classroom first. The staff home lists your classrooms with a per-child roster, and each child carries an Update control there. Pick a status from it to check a child in, check them out, mark them absent, or reset them: the same statuses you'd get inside the room. Check-out from the home roster follows the same rules described below, so it opens the multi-step pickup sheet when your school calls for it.
Check a child in or out
In the app, each row carries a status badge, with a line above the roster that reads Tap a status to confirm. Long press for full options.
- Tap the badge to apply the obvious next step. A child who isn't here yet checks in; a child who's present starts checkout.
- Long press the badge to open the full picker, where you can set any status and leave a note.
- If your school asks for it, checkout pauses on a multi-step sheet so you can pick who's collecting the child, and optionally rate the day, before you confirm.
On the web, the roster gives each child a row of buttons: Check In when they're not present, Check Out when they are, and Mark Absent. A child's profile page also has a status tag you can click to open the Change status popover with those same choices.
The multi-step checkout is shared between web and app: what it shows is driven by your School → Attendance rules. When Pickup Authorization is set to Warn or Require (and Single-Tap Toggle is off), a web check-out opens the same sheet the app uses instead of committing right away:
- Who's picking up? Choose the authorized caregiver. Require forces a selection and greys out anyone not authorized for pickup; Warn lets you Skip or continue without selecting.
- Today's behavior (optional). Rate the day as Star Day, Green Day, or Red Day and add a note, or Skip it. The rating saves alongside the checkout but never blocks it.
When neither rule applies (pickup authorization is Off, or single-tap is on), Check Out commits immediately with no extra step.
Mark a child absent
A child you never check in stays Not Present for the day. That's the quiet default, not a record of anything.
To log a real absence, choose Mark Absent on the web or pick Absent from the long-press picker in the app. The absence categories you've set up show when someone reports a planned absence.
Run batch attendance for a whole group
Mornings come in waves, so the app puts a Bulk Attendance card at the top of the roster with three buttons:
- Arrivals opens batch mode already filtered to children who aren't checked in yet.
- Departures filters to children who are currently checked in.
- Head Count starts a spot-check headcount instead of a status change.
In batch mode, tap rows to pick the ones you want, or use Select All and Deselect All. A chip keeps a running count of how many are selected. Tap Check In or Check Out in the action bar to apply it. If Batch Confirmation is on, you'll okay the count first. Cancel backs you out.
On the web, the roster header carries three buttons for the whole classroom in one move: Check In All, Check Out All (which acts only on the children who are currently checked in), and Mark All Absent.
Look back over a child's history
Open a child, then tap Attendance history for a month at a glance. Each day with activity gets a colored dot:
- Green for Checked In
- Primary (the app's accent color) for Checked Out
- Red for Absent
Use the arrows to move between months. Tap any day to see every record for it: the time, the status, who made the change (shown as Updated by), and any notes.
How the statuses move

A normal day runs Not Present → Present → Checked Out. Absent stands in for the check-in when a child doesn't make it.
School-wide attendance settings
Admins set the defaults under School → Attendance rules:
- Pickup Authorization: set the Mode to Off, Warn, or Require, and turn Require Pickup Person on Checkout on or off.
- Business Hours: set Enforcement to Off, Warn, or Block for changes made outside operating hours. You set those hours in School Profile.
- Tap Behavior: toggle Single-Tap Toggle and Batch Confirmation.
- Absence Categories: add or remove the reasons staff choose from.
- Notifications: turn on Late Arrival Alerts with a minutes-after-opening threshold, and the Daily Summary Email that goes to parents.
Keeping an eye on the room
The stats bar updates as the day moves. If staffing slips below ratio, a Student-teacher ratio exceeded banner appears at the top of the room, so you can move a teacher before it turns into a compliance problem rather than after.
