Manage roster and planned absences

Add and remove classroom teachers and report planned student absences so attendance reads true every day.

Setting up a classroom is one thing. Running it day to day is another: who teaches in the room and which children will be out and when. This page covers both. Keeping them current is what keeps attendance honest.

View a classroom roster

Open a classroom and go to its Manage Roster screen. You'll see two sections:

  • Teachers: staff assigned to the room, each with their name and email.
  • Students: children enrolled in the room.

Pull down to refresh. If someone else changes the roster while you're looking at it, the list updates on its own.

Add a teacher to a classroom

  1. On Manage Roster, tap Add teacher below the Teachers section.
  2. Type a name in the Search teachers... box. The list shows staff at your school who aren't already in this room.
  3. Tap Add next to the person you want.

Once everyone's assigned, the picker reads "All teachers are already assigned" with no one left to add. Tap Cancel to close it.

Remove a teacher from a classroom

Tap Remove next to a teacher, then confirm Remove in the prompt. You can't remove students from here: a child's enrollment lives on their student profile.

Report a planned absence

When a family tells you a child will be out, log it ahead of time so the day doesn't read it as an unexpected absence.

On the web, open Upcoming absences and tap Report absence in the top right. Then:

  1. Pick the child from the Student dropdown.
  2. Choose the Dates. For a single day, set the same date on both ends of the range.
  3. Tap a Category chip if it fits. The choices come from your school's attendance settings.
  4. Add a note under Additional notes if you want. When no categories are set up, this field is labeled Reason instead.
  5. Tap Report absence. The school is notified.

In the app, families report a child's absence themselves from the home screen: they tap Report absence on the child's card. The form is the same idea, with Start Date and End Date picked separately rather than as one range.

Same-day notices from families

Families also have two quick same-day actions on the child's card, both of which reach the room's assigned teachers right away:

  • Won't make it today: one tap declares the child out for the day. This auto-creates a single-day planned absence (logged against today) and pushes the assigned teachers a notification. It shows up alongside any other absence you've logged, so the day reads true without you re-keying it. See report an absence or running late.
  • Running-late pickup ETA: a parent broadcasts how many minutes away they are (1–240). This pushes the assigned teachers a heads-up so the room can prep for a late pickup. It is a live alert only: it does not create an attendance record or fill the daily log.

View and cancel upcoming absences

The Upcoming Absences screen lists every planned absence across the school: the student, their classroom, the dates, and any reason. Tap a card to open the student.

To cancel one, long-press the card and confirm Delete in the Cancel Absence prompt. On the web, each row has its own Cancel button instead.
