Add contacts, caregivers and allergies

Link parents, add caregivers and emergency contacts, and record allergies, including the ones the whole room needs to know about.

A profile keeps two kinds of people apart. Parents have accounts, get daily reports and can message you. Caregivers are the other people you may call or hand a child to: relatives, neighbors, emergency contacts. Directors add and edit both. Teachers can read them.

On the web, open the child's profile and select Add parent in the Parents card. Fill in First name, Last name, Email and, optionally, Phone number. Message parents writes to everyone linked. Each parent sits on a card you can edit or remove. Removing only unlinks the parent from this child; it doesn't delete their account. In the app, the Parents section is read-only, and you invite parents from Invite parents on the School screen.

Add a caregiver

In the Caregivers card (Contacts & Pickup in the app), select Add caregiver and fill in:

  • First name, Last name, Email and Phone number (optional).
  • Relationship.
  • Emergency contact. When you check it, choose an Emergency contact priority: priority 1 is called first, then 2, 3 and 4.

On the web each caregiver card shows Authorized for pickup as Yes or No. A new caregiver starts as No. In the app, the director's caregiver form has an Authorized for pickup switch; on the web you can see the setting but not change it. It matters at check-out: when your school requires an authorized person, caregivers marked No can't be chosen. See Configure attendance settings.

In the app, Contacts & Pickup groups people as Emergency contacts, Authorized for pickup and Other caregivers. Parents can add their own caregivers from their side, but only a director can authorize pickup; see Your family's caregivers and pickup list.

To change a caregiver, select Edit. To drop one, select Remove. Removing only unlinks them from this child.

Record allergies

Allergies go in the child's form under Health & Safety. On the child's profile, select Edit, then Add more details.

  1. In Allergies, type an allergy and press enter. Add as many as you need.
  2. Under Room-Level Alerts, which appears once there's at least one allergy, select the allergies that need a classroom-wide warning.

Allergies show as tags on the profile. A room-level alert goes further: a banner in the classroom (Room-level allergens on the web, Classroom allergens in the app) lists each allergen, so every teacher in the room sees it, not only whoever opens that child's profile. Use it for anything serious.

The Medications field beside it is only a quick heads-up tag. To record a real medication and log each dose, use the Medications card; see Medications and immunizations.
