Understand attendance reports
How to read the attendance report: the summary stats, check-in and check-out times, total hours, and who recorded each entry.
The Attendance report walks through your days one at a time: who was present, who was out, when each child checked in and out, and how many hours they were in care. Reach for it when you need to confirm a child's hours, look for a pattern, or pull the numbers a licensor or funder is asking for.
Open Reports and choose Attendance. Since the report covers a stretch of days, set your Date range (web) or pick a From and To date (mobile). Add a Classroom filter if you want to narrow it, then tap Generate report (Generate Report in the app).
The summary at the top
Above the rows, a stats bar gives you four numbers for the range and classroom you picked:
- Enrolled: children enrolled.
- Present: children marked present.
- Absent: children marked absent.
- Rate: the attendance rate, as a percentage.
These add up everything below them, so they move when you change the date range or the classroom.
Status
Each row carries a status:
- Present: the child attended.
- Absent: the child did not attend, and no absence was planned.
- Planned absence: the family told you ahead of time.
To record or change a planned absence, see Manage roster and absences.
Check-in and check-out
Every row shows the first check-in and the last check-out for that child that day:
- In: the earliest check-in.
- Out: the latest check-out.
A dash (—) means nothing's on file. On mobile, the rows sit under a heading for each day.
Total hours
The Hours column is the time the child spent in care that day, worked out from their check-in and check-out and rounded to one decimal place.
Who checked them in and out
Clear Day also keeps track of which staff member recorded each check-in and check-out: the Checked In By and Checked Out By fields. You won't see those columns in the on-screen table, but they ride along in the Export CSV file, so your audit record is complete.
Export and Print live on the web. For how to save or share the file, see Export and print reports.
