Ratio, incident and spot check reports

Three reports touch licensing and safety, so only school admins can open them: Ratio Compliance, Incidents and Spot Checks. Teachers never see them. To get to them, see Find and run reports.

All three cover a span of days. Set the Date range (From and To in the app), narrow by Classroom if you like, and generate the report.

Ratio Compliance

You get a card per classroom, tagged Compliant or something like 3 violations. Each card shows:

• Age for the room
• Max ratio, for example 4:1
• Snapshots: how many ratio checks landed in the range
• Violation rate: the share of snapshots that were out of ratio, shown only when there were violations

A room with violations lists each one: the Time, the Students and Staff present, the actual Ratio, and the Max allowed then. In the app, a card shows the first five and tells you how many more there are.

Incidents

Two numbers sit at the top: Total and Unresolved. Below them, incidents are grouped by type and by severity (LOW, MEDIUM, HIGH, CRITICAL), each with a count.

Each row gives the Date, Type, Severity, Status, the Students involved, a short Description and Reported By. Unresolved is the number to work down to zero. To act on an incident, see Review and resolve incident reports.

Spot Checks

Spot Checks compares the head count a staff member expected with the count they confirmed in the room.

By classroom gives each room its Checks, Discrepancies and a Compliance percentage. Under it are the individual checks, with Expected, Confirmed, Discrepancy (Yes or No), Notes and Performed By. A mismatch shows in red. In the app, the detail list is titled Discrepancies and holds only the checks that came up short.

Read the summary first

Skim the top numbers, find the room or severity that stands out, then open the records behind it. Generate again with one Classroom selected to focus on a single room. To keep what you found, export or print the report.
