Review and resolve incident reports

Open a report, share it with the family, watch for their acknowledgement, and close it out.

The Incident reports list holds everything that's been filed. Open any report to read it, share it with the family, see whether they've acknowledged it, and mark it resolved once it's handled.

Find the report you need

On the web, each row shows the Type, Severity, Status, the involved students, whether it's Shared or Internal, and when it occurred. On iOS the row is leaner: type, status, the students, and the date.

Three filters narrow the list, on both web and iOS:

  • Type: Injury, Illness, Behavioral, Medication Error, Allergic Reaction, Other.
  • Severity: Low, Medium, High, Critical.
  • Status: Submitted, Acknowledged, or Resolved.

On both web and iOS, the list refreshes on its own as new reports arrive. On the web you can also select Refresh; on iOS, pull down to refresh. Tap a row to open the full report.

What the statuses mean

  • Submitted: the report has been filed.
  • Acknowledged: a family member has confirmed they saw it.
  • Resolved: the incident is handled and closed.

Separate from status, every report is marked Shared with family or Internal, depending on whether the family can see it.

Share, resolve, and edit

Open the report from the list. From there:

  • To let the family see it, select Share with family. This appears only while the report is still internal. Once it's shared, you can't unshare it.
  • To make changes, select Edit (web). You can update the type, severity, description, action taken, location, and internal notes. The involved students and the time of the incident are fixed at creation and can't be changed. The Edit form also has a Share with family toggle: turn it on and save to share the report. It's available only while the report is still internal and is disabled once the report has been shared.
  • When the incident is handled, select Mark resolved.

Track acknowledgements

Once a report is shared, the Acknowledgments section lists each family member who has confirmed they saw it and when. On the web, if they typed a signature it shows too, as signed "…"; the app lists the name and time without the typed signature. Before anyone has confirmed, it says no one has acknowledged it yet. While the report is still internal, it tells you it hasn't been shared with the family.

Only staff see the Internal notes. Families see a report only after you've shared it with them.
