Use the custom report builder
Build your own report from a safe set of fields and filters, preview it, then export to CSV or save it to re-run later.
When the built-in operational reports don't cover what you need, the custom report builder lets you assemble your own from a safe set of fields and filters. You pick a data source, choose which columns to show, add filters, preview the results, and then export to CSV or save the report to run again later.
The builder is admin-only. From the reports hub, the Custom report builder card sits at the top for school admins; tap it to open the builder. The builder lives on the web only. The mobile app can open and run saved reports, but it can't build new ones.
Open the builder
On the web, go to Reports and tap the Custom report builder card. The page reads Custom report builder and walks you through four numbered steps down the left side, with a Preview panel and your Saved reports on the right.
1 - Pick a source
Use the Choose a data source dropdown to pick what the report is built from. The list of sources comes from the server, and everything you can pick downstream is scoped to the source you choose. Switching the source clears your field, filter, and grouping choices and resets the preview.
2 - Choose fields
Each source exposes a checklist of available fields, each tagged with its type (string, number, boolean, date, or enum). Check every field you want as a column. You need at least one field selected before the report will run.
3 - Add filters
Tap Add filter to narrow the results. Each filter has three parts: a field, an operator, and a value. The operators offered depend on the field's type:
- Text fields offer is, is not, and contains.
- Number fields offer is, is not, greater than, at least, less than, and at most.
- Date fields offer is, greater than, at least, less than, and at most.
- Yes/no (boolean) fields offer is, with a true / false value picker.
- List (enum) fields offer is, is not, and is any of. For is any of, type the values separated by commas.
Add as many filters as you need; tap the trash icon next to a filter to remove it. Filters with a missing field, operator, or value are ignored when the report runs.
4 - Date grouping
If the source has a date field, a Date grouping step appears. Leave it on None, or group results by Day, Week, or Month. Sources without a date field skip this step.
Preview the results
Tap Preview to run the report and see the results in the panel on the right. The preview is capped: if the report would return more rows than the cap, a warning reads This preview is capped at [N] rows. Export to CSV to get the full results. To get every row, export to CSV instead of relying on the preview. If the report can't run, an error shows in the preview panel.
Export to CSV
Tap Export CSV to download the full results as a CSV file, even when the on-screen preview was truncated. The file downloads with a name based on the source.
Save, re-run, and delete reports
To keep a report, type a name in the Report name field and tap Save report. Saved reports appear in the Saved reports list on the right, each showing its source and field count.
For any saved report, you can:
- Run - reloads the builder from the saved definition and runs it, showing the results in the preview.
- CSV - downloads the full results as a CSV without opening the builder.
- Delete (trash icon) - removes the saved report after you confirm.
Saved reports also show up in the mobile app, where staff with access can open and run them, but the building and saving happen on the web.
