Download your data

Request a copy of your Clear Day records, track its status, and download the zip before it expires.

You can take a copy of your Clear Day data with you whenever you like. We package it into a downloadable zip, and you decide what to do with it from there.

Open it from Settings > Download my data.

What's in the export

The export gathers your profile, your children's records, attendance, photos, messages, and audit history.

Photos and attachments come along too, as long as they fit under our size limits. When a file is too large to include, the export skips it and writes the reason into the manifest inside the zip. So if something you expected is missing, the manifest tells you why.

Request an export

On the Download my data screen, tap Request export.

You'll see a short confirmation step before anything starts. There's also an optional Reason field if you'd like to note why you're exporting. It's never required, and you can leave it blank. The field holds up to 500 characters.

Confirm, and we start building your export right away. One request runs at a time. While a job is still building, the button reads Export in progress and stays disabled until that job finishes.

You can request one export every 24 hours. If you ask again too soon, Clear Day tells you the next time you're eligible.

Track its status

Every request you've made lives under Past requests, newest first. Each one shows when you requested it and a status tag:

  • Pending: queued, not started yet
  • Processing: being built right now
  • Ready: built and waiting for you to download
  • Failed: something went wrong (the row shows why)
  • Expired: the download window closed

While a job is pending or processing, the list refreshes itself every so often, so you don't need to keep tapping. You can also pull to refresh on mobile, or use the Refresh button on the web.

Download a ready export

When a request reaches Ready, a Download button appears on that row. The row also shows the file size and the date it expires.

Ready downloads expire 7 days after they're built. After that the status flips to Expired and the link no longer works. If that happens, request a fresh export.

When an export fails

A Failed row shows the reason right below it, for example a file that couldn't be packaged. Most failures clear up on a retry.

A failed export doesn't use up your daily request, so you can request a new one right away. You don't have to wait out the 24-hour window. If a request keeps failing, contact your director and mention the failure reason shown on the row.

Mobile vs. web

The flow is the same on both, with one difference at the confirm step.

On mobile, exporting is a protected action, so Clear Day may ask you to verify it's really you before it starts. If it does, a Verify it's you sheet slides up for your password (plus your authenticator code if you've turned on two-factor) and the export picks back up once you confirm. This is server-driven, so you'll only see it when a fresh check is needed.

On the web, there's no extra prompt. Your signed-in session plus the 24-hour limit handle that, so you go straight from Request export to Confirm.

Everything after that (tracking status, downloading, expiration) works the same way on both.
