Take registrations online

Available on every plan

Rolling out: if you don't see this yet, it isn't on for your school yet.

Share one registration link, review what families send, and accept each child onto your roster when you're ready.

The registration form is a link your families open on their phone. They don't need an account. Everything they send waits in a queue for you. Nothing is added to your school, and nobody is contacted, until you accept it.

School admins can use it. Find it under Daily Kit, on the Registration form card.

Share your form

At the top of the queue, the Share your form card shows your link.

  • Copy link copies it.
  • Print QR poster opens a printable sheet headed "Register with us". Choose Letter or A4, then Print. Put it on the front door or the sign-in desk.
  • Get a new link replaces the link. Confirm with Yes, get a new link. The old link and any printed QR codes stop working, so print the poster again. Registrations already in your queue are untouched.

What families fill in

The form asks for the child's name and birthdate, caregivers with phone and email, an emergency contact, allergies, medication, and a start date. A best guess at the start date is fine. The family's answers are saved on their phone until they send them, so a bad signal doesn't lose the form.

Work the queue

The queue heading counts who is waiting, such as "3 families waiting". Each row shows the child, who sent it, the date and the program they asked for. A badge tells you what Clear Day found:

  • New child. Nobody with that name and birthdate is on file.
  • Matches a student. That child is already on your roster.
  • Possible duplicate. That child is already in your enrollment pipeline.

An allergy shows as a chip, such as "Severe allergy · Peanuts". Use the search box to find a child, caregiver, email or phone.

Select a row to open the registration. You'll see the birthdate, caregivers, emergency contact, allergies, medication and requested start. Then:

  1. Check Confirm date of birth. The page reads back the age, so a typo shows.
  2. If the child matches someone on your roster, tick Attach to existing to use that record instead of making a second one.
  3. Optionally pick a Classroom (optional). The default is "Decide later".
  4. Choose Accept with the child's name. It reads Accept into a classroom, or Accept and attach to a name, when those apply.

Accepting puts the child on your roster. It sends nothing to the family.

To take several at once, tick the rows, then choose Accept or Remove with the count. A batch accepts each registration as submitted: the birthdate the family typed, a new child record and no classroom. Open a row first if you need to attach it or choose a room.

Remove or bring one back

Delete on a registration is undoable for 10 seconds. After that, find it under Show registrations that left the queue and choose Reopen.

How long a registration waits

If nobody acts on a registration, Clear Day emails the school's admins once it has waited 60 days. At 90 days it moves out of the queue, but it isn't deleted. Open Show registrations that left the queue and choose Reopen to bring it back.

There is no limit on how many registrations you can take or accept.
