Run and filter operational reports

Set a date range, filter by classroom, and run operational reports on web and in the app.

Every report opens with a few controls along the top so you can narrow the results before you read them. The two that do most of the work are the date range and the classroom filter. Here's how each one behaves, and what you'll see while a report loads or comes up empty.

Two kinds of report

The controls you get depend on which report you opened.

Most reports want a span of dates. You set the range, then tap Generate report (the button reads Generate Report in the app). That covers Attendance, Ratio Compliance, Incidents, Spot Checks, Daily Activities, and CACFP Meal Counts.

Three reports skip the date range and load on their own the moment you open them: Student Roster, Staff Overview, and Immunizations Due / Overdue. The immunization report isn't tied to a range at all; it shows an as-of date and treats "Due soon" as a fixed window of days from that date.

On the web, a date-range report you haven't run yet shows a prompt where the results will go: Pick a date range and generate the report.

Setting a date range

Date-range reports start at the first of the current month through today, so most of the time you only touch the dates when you need a different window.

On the web, the Date range picker takes a start and end date together.

In the app, you set each end on its own:

  1. Tap the From date and choose where the range starts.
  2. Tap the To date and choose where it ends.

Filtering by classroom

If your school has classrooms, a classroom filter shows up on every report and applies to all of them.

On the web, use the Classroom dropdown. All classrooms includes everyone; pick a single classroom to narrow things down. In the app, tap a classroom chip, or tap All to clear it.

On the web, once a report has run at least once, changing the classroom reloads it for you. In the app, run the report again after you switch classrooms.

Running and refreshing

For a date-range report, tap Generate Report after you set the dates. Tap it again whenever you change the range.

The auto-loading reports refresh differently by surface. On the web, tap Refresh to pull the latest data. In the app, pull down on the report to do the same.

While it loads, and when it's empty

A report that's still building shows a loading spinner. In the app, the spinner sits inside the Generate Report button.

If a report finishes with nothing to show, you'll see No data found for the selected filters. Widen the date range or switch back to All classrooms and try again.

If something goes wrong, the report shows an error with a Retry button. Tap Retry to run it again.

When the report looks right, head to Export and print reports to save or share it.
